How to Create a Field Level and Data Security Group

Overview: This walkthrough shows how to create a Field Level and Data Security Group. A Security Code is a set of permissions that adds additional levels of security. When multiple Users need to have the exact same security level in NAV, the required Field Level Security Codes and/or Data Security Codes can be assigned to a Group User ID. Then individual User IDs are assigned to the Group User ID. This means only one Group User ID needs to be maintained instead of maintaining multiple User IDs.

This example makes the following assumptions: Field Level and Data Security is installed, Field Level Security and Data Security Codes exist and a User Security Setups exist that have been assigned Field Level Security and Data Security Codes. Below are links to FAQs on how to do all of the above.

This example uses User ID Susan that has been assigned the Field Level Security Code CUSTADD and the Data Security Code DOMESTICONLY.



Other Users need to have the same level of security that Susan has. To make this task easier, simply create a Field Level and Data Security Group User ID using Susan's User ID setup. Then assign other User IDs to this Group User ID. To create a new Group User ID:

1) Click on Field Level and Data Security Group Members. Click on New to create a new Group User ID and select Susan in the Group User ID field.



2) Click the drop-down under Member User ID and select the User ID that you want to set up like Susan. In our example we assigned 3 additional Users to the Group User ID Susan. These Users will have the same Field Level and Data Security level that Susan has.



NOTE: The Group User ID feature makes it easy to assign and maintain the same level of security for multiple Users. Set up one User ID with the desired level of security, assign that User to a Group User ID and then assign Member User IDs to the Group User ID.

3) However; a Member User ID can be set up to override permissions of the Group that the Member User ID is assigned to. This is accomplished in the User Security Setup. In our example, Member User ID David is assigned to the Group User ID Michael.



4) The User Security Setup shows that User ID David has EDIT permissions to the Customer Table. User ID Michael has VIEWONLY permissions to the Customer Table. In this situation Member User ID David is actually allowed to Edit information in the Customer Table even though the Group User ID Michael has only VIEW permissions to the information in the Customer Table and David is a member of the Group User ID Per. This is because David's individual User Security Setup allows him to Edit the Customer Table.



NOTE: User Security Setup is prioritized as follows:

1) Individual User ID
2) Group Member
3) Blank User ID

Easy Security will look first for permissions that are assigned at the individual User ID level. If no permissions are found for the specific User ID, then Easy Security looks to see if the User ID is part of a Group. If the User ID is part of a Group, then the Group level permissions are assigned to the User ID. If neither a User ID specific nor a Group permission is found for a User ID, then the Blank User ID permissions are used for the User ID.

NOTE: If you want the Field Level and Data Security Group information to be copied to the Live Company, enter a checkmark in the Copy Group Members: field in Field Level and Data Security Setup, Copy Data Tab. Since the Copy Data information is set up in each Live Company, the setup can be different from company to company.
